Project Overview

Harry Potter: A Yule Ball Celebration is an immersive theatre experience inspired by the Harry Potter film franchise, inviting guests to step inside the Wizarding World for an evening of live performance, themed environments, food and beverage service, and interactive experiences.

Produced internationally in cities including Montreal, Houston, Milan, and Sydney, the event combines theatrical storytelling with experiential event design, transforming venues into fully themed environments where audiences participate in the world of the story.

Working with Fever Up and Alive Agency in partnership with Warner Bros, I led the Sydney production as Creative Producer for Alive Agency, responsible for adapting the global production framework into a show suitable for the local market while overseeing creative execution and operational delivery.


My Role

As Creative Producer, I worked closely with the global creative team — including script writers, choreographers, and art directors — to adapt the show for the Australian production while leading the local creative and production teams through planning, build, and live operation.

The project moved from concept to opening night in under three months, requiring rapid crew assembly, casting, and production planning.

My role spanned both creative leadership and operational production, coordinating departments including staging, choreography, costume design, lighting, sound, venue operations, and front-of-house services.

Following opening night, my responsibilities shifted into show management for the full production run, overseeing daily operations, cast rotation, crew coordination, and guest experience delivery.


What I Delivered

  • Creative production and adaptation of the global show for the Sydney market

  • Assembly and leadership of the local production crew across technical and creative departments

  • Casting process for a rotating performance ensemble

  • Creative styling and development of costumes, sets, and themed environments

  • Venue transformation, including stage, lounge, bar, photo moments, and retail areas

  • Lighting and sound cue development with technical teams

  • Blocking and rehearsal coordination with the choreography leads

  • Full production run schedule and show operations planning

  • Front-of-house coordination across ticketing, merchandise, food and beverage teams

  • Press and influencer activations, including broadcast production for Channel 7's Sunrise


Result

The Sydney production successfully launched as part of the international tour of Harry Potter: A Yule Ball Celebration, delivering a fully immersive theatrical experience for local audiences.

The event ran multiple shows per day across a ten-week season, combining theatrical performance, hospitality service, and retail activations within a single guest experience.

Managing the show through its full run required continuous coordination between creative teams, technical crews, venue staff, and brand stakeholders to maintain performance quality and operational consistency throughout the season.
